Online store checkout to fulfilment workflow
How a storefront purchase becomes a paid commerce order for fulfilment — kept as an order rather than a job unless separate service work is added.

The business problem
Treating every product sale as a job or a manual invoice adds unnecessary steps for straightforward purchases, and makes it harder to keep a clean order inbox for fulfilment.
Business situation
Retail and hybrid businesses want to sell physical products online alongside their regular service work, without forcing every product sale through the quoting or job pipeline.
How KookaCRM solves it
KookaCRM's product catalogue and store keep product purchases as commerce orders, separate from jobs. Checkout is paid upfront through Stripe, and the order is only marked paid once the exact amount is confirmed by the payment webhook. Jobs are only created if actual service work needs to be added alongside the product.
Recommended KookaCRM setup
List active, public products in the catalogue, choose a selling mode (buy now, enquiry only, or both) per product, and connect Stripe Connect so checkout can take payment. Use the order inbox and enquiry inbox to manage fulfilment.
Entry point and pricing model
Customer entry point: Storefront checkout — the customer browses the public product store or hosted storefront, adds products to a cart, and checks out.
Service pricing model: Catalogue / retail: published product prices with cart-based checkout, separate from quote-to-invoice or callout pricing used for service work.
Suitable business types
- Retail and hybrid service businesses selling products alongside services
- Businesses wanting a simple public store without a full e-commerce platform
How it works
Customer browses the public product store or hosted storefront and adds products to their cart, then
Customer proceeds to checkout and pays via Stripe Checkout, then
KookaCRM's webhook confirms the exact paid amount before marking the order paid, then
A commerce order is created for fulfilment, with an invoice/receipt linked to the order, then
Staff process the order from the order inbox, then
If a product is enquiry-only rather than buy-now, the customer submits an enquiry instead, which staff handle like other quote-led enquiries, then
If the order also needs actual service or installation work, staff can add a separate job — the order itself remains an order
Customer experience
- Shops the online store and adds products to the cart
- Pays online at checkout
- Receives an order confirmation and receipt
- Can submit an enquiry instead of purchasing directly for enquiry-only products
Staff actions
- Manage the product catalogue and store settings
- Monitor the order inbox and enquiry inbox
- Fulfil and ship orders
- Respond to product enquiries
- Add a job only where genuine service or installation work is needed alongside the product
What KookaCRM creates
- Cart and checkout session
- Commerce order
- Invoice/receipt linked to the order
- Enquiry record, for enquiry-only products
- Job, only if service work is explicitly added
Payment flow
Payment is collected upfront through Stripe Checkout as one aggregated line item for the exact order total. The order is only marked paid once the webhook confirms the paid amount matches exactly — there is no partial or overpayment handling.
Setup requirements
- Ask your operator to enable the product catalogue and store capability
- List active, public products with correct pricing
- Choose a selling mode per product — buy now, enquiry only, or both
- Connect Stripe Connect so checkout can take payment
Availability
The product catalogue's online store, hosted storefronts and checkout are a beta capability and are not enabled for every tenant by default. Live Stripe checkout is blocked in sandbox workspaces, which can use Stripe test mode instead.
