Smart Quote

A guided public quote request that uses AI-assisted analysis to help triage and classify jobs, while your own pricing rules — not the AI — decide the pricing outcome.

The business problem

Answering every quote request individually is slow, and customers often submit incomplete information, meaning staff spend time going back and forth before pricing can even begin.

How KookaCRM solves it

Smart Quote is a guided public quote request form. It optionally uses AI-assisted analysis of the customer's description and any photos to help classify the job and speed up triage. The AI does not set a price by itself — the actual pricing outcome is always decided by pricing rules that a tenant configures. Depending on those rules, a request can result in an estimate range, a draft quote, a case flagged for staff review, or a request for an inspection. Manual-review rules can be set to override automation for anything outside a tenant's comfort zone, and instant fixed quotes are turned off by default — they only run when a business has configured strict, well-defined pricing rules for a service.

When to use this

  • You want to speed up initial triage of quote requests without losing control of pricing
  • Customers commonly submit photos or descriptions that help classify the job
  • You want a documented, rules-based process for how estimates and draft quotes are produced

Suitable business types

  • Trades quoting jobs that vary in scope and benefit from an early estimate range
  • Cabinet makers and custom installers assessing photos before a full quote
  • Cleaning and lawn care businesses handling high volumes of similar-sized jobs

How it works

  1. A customer submits a Smart Quote request, optionally with photos and a description, then

  2. AI-assisted analysis helps classify the request and extract relevant details, then

  3. Tenant-defined pricing rules are applied to decide the outcome for that request, then

  4. The result is an estimate range, a draft quote, a flag for staff review, or a request for an inspection, then

  5. Staff review the outcome in the dashboard and finalise the quote if needed

What KookaCRM creates

  • Smart quote request
  • Lead
  • Quote (where rules produce a draft)

How it connects with other features

  • Requests flagged for review are worked from the same queue as other leads
  • Draft quotes can be finalised and sent for acceptance using Quotes and Customer Acceptance
  • Smart Quote can sit alongside a standard Website Enquiry Form as an alternative entry point

Example use cases

  • A customer uploads photos of a broken fence panel and receives an estimate range while staff review the full request
  • A recurring cleaning enquiry matches a tenant's configured pricing rule and produces a draft quote automatically
  • A complex custom joinery request is flagged for manual review rather than being priced automatically

Setup requirements

  • Configure pricing rules for the services you want Smart Quote to help triage
  • Decide which outcomes (estimate range, draft quote, review, inspection) apply to each service
  • Instant fixed quotes require deliberately configuring strict rules for a service before they will be offered — this is off by default

Availability

Available on all tenants. The intelligence in Smart Quote is limited to triage and classification — every pricing outcome is governed by rules your business configures, and manual-review rules always take precedence over automation.
